Privacy Policy

When you use the website preview tool, we collect your business name, suburb, phone number and email address. If your business has a Google Business Profile, we also retrieve publicly available details — your rating, review count, phone number and address — from Google.

When you contact us by phone, email or social media, we keep what you send us so we can respond and follow up.

If you become a client, we collect what we need to build and run your website and systems: business details, service information, photos, and login access to services you ask us to connect.

To build your preview, to respond to your enquiry, to deliver the services you've engaged us for, and to follow up about work you've asked about. We don't sell your information to anyone.

We use third-party services to run our business, and your information passes through some of them:

• Google — to look up publicly listed business details for the preview tool
• SendGrid — to send email notifications
• Meta (Facebook and Instagram) — when you submit the preview form, we send Meta a record of that submission for advertising measurement. Your email address and phone number are cryptographically hashed before they’re sent, so Meta receives a scrambled version rather than the address itself. We also use the Meta advertising pixel on our site.
• Vercel and our hosting providers — to run the website and store data

Each of these has its own privacy policy governing what they do with information they receive.

Our site uses the Meta advertising pixel, which sets cookies and records that you visited. You can block this in your browser settings or through your device’s ad-tracking controls.

Enquiry and preview records are kept while they're commercially useful and deleted when they're not. Client records are kept for the life of the engagement and afterwards where we're required to keep them for tax or legal reasons.

You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email joshua@syntrasoftware.com and we’ll action it.

If you're not happy with how we've handled your information, contact us first. If we can't sort it out, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
